FAQ

Frequently Asked Questions

How long after my meeting will the record appear?

It depends on Fireflies' processing time and your admin's sync schedule. A common setup runs the sync every 15 minutes, so most records appear within 15–30 minutes of the meeting ending. Unusually long transcripts may take longer for Fireflies to finish processing.

Why is my meeting not showing up?

A few possibilities, in order of likelihood: (1) Fireflies hasn't finished processing the transcript yet, (2) the meeting is private or internal and your admin has set up filters that exclude it, (3) the meeting is older than the configured sync window. Ask your admin to check the latest sync result.

Why does the dashlet say "No transcript available"?

The record was created from a transcript summary, but the dashlet couldn't fetch the sentence-level data — usually because Fireflies is still processing, or the transcript on Fireflies has been deleted. Click the Fireflies icon in the dashlet header to confirm on fireflies.ai.

Can I delete a synced record?

Yes — but on the next sync run, the integration may re-create it from the original Fireflies transcript. If you need to keep it gone permanently, ask your admin to add the meeting's title to the Title Exclude filter.

Are the action items always accurate?

The action items are extracted by Fireflies' AI. They're usually a good starting point but can miss nuance or include things that aren't genuine action items. Treat the Tasks as a draft list — edit, delete, or add as needed.

Can I trust the sentiment label?

It's a useful shorthand, not a verdict. Sentiment is computed by Fireflies' AI from the language used in the meeting, weighted by time spent positive vs. neutral vs. negative. A meeting can be marked Positive even if a tough topic came up briefly. When in doubt, search the transcript for the actual content.

Where do I report a problem?

Tell your SugarAI admin. They have access to the integration's diagnostic page, the connection test, and the sync logs, and can usually pinpoint the issue quickly.

Can I sync to both Calls and Meetings?

No. Target Module is a single value. To migrate from one to the other, switch the setting and accept that transcripts after the switch will live in the new module — historical records in the prior module remain but stop receiving updates.

What happens to a record after the integration soft-deletes it via filter?

It's marked deleted = 1 in calls/meetings. The custom field columns retain the data. If you re-loosen the filter, the next sync run will see the original transcript again — it does not auto-undelete the local record. Instead it would create a new record (the lookup by fireflies_id_c excludes deleted = 1 only). To recover the original, restore it via SQL.

How long are transcripts kept in SugarAI?

Indefinitely. The integration only deletes via filter enforcement. There is no TTL or archive policy. If you need one, run periodic database cleanup outside the integration.

Can I edit a synced record manually?

Yes — but on the next sync run, any field the integration writes (name, description, dates, sentiment, actions, transcript, URL, ID) will be overwritten back to whatever Fireflies says. Edits to fields the integration does not touch (custom fields you've added, related records, comments) are preserved.

Does it work with custom modules?

No. Target Module is restricted to Calls and Meetings.

Does it support multiple Fireflies workspaces?

No. One API key per SugarAI instance. To consolidate from multiple workspaces, run them through a Fireflies-side aggregation or roll your own multi-workspace patch.

Does the integration push anything back to Fireflies?

No. The flow is one-way: Fireflies → SugarAI. The only Fireflies API calls are reads: user, transcripts, and transcript (with sentences, on dashlet open).
